How to reduce no-shows with automatic reminders

An empty slot never comes back. For a business that sells time — a salon, a workshop, a practice — a no-show is a straight loss: the capacity is spent and there is no revenue against it.

People do not forget on purpose

The booking was made two weeks ago, over the phone, in passing. Since then that person has had a hundred other things to deal with. This is not disrespect, it is ordinary forgetting — which is exactly why it is solved with mechanics rather than with conversations about attitude.

What works

A reminder the day before. Early enough that the person can cancel and the slot can be reused, late enough that they still remember it. A reminder two hours ahead arrives when it is too late for everyone.

Asking for confirmation. One tap: confirm or cancel. An explicit confirmation works better than a plain notification, because it turns a booking into a commitment made.

The channel they actually read. A perfect reminder is useless in a channel nobody opens. For some that is SMS, for others Viber or email.

Precise wording. Date, time, service, address, and how to cancel. If cancelling is hard, people simply do not turn up — the worst outcome of all.

The firmer measures

  • A deposit on long or expensive services. Not on everything — only where one missed slot genuinely hurts;
  • A waiting list. If a cancellation arrives in time, the slot goes to someone already waiting;
  • A clear policy. When cancelling is free, and what follows repeated no-shows. Written once, it saves arguments.

Measure before you change anything

Without a number, every measure is a guess. It is worth tracking the no-show rate by slice:

  • by service — long and expensive ones usually suffer most;
  • by staff member — sometimes it is one particular schedule, not the customers;
  • by booking channel — online bookings get cancelled differently from phone ones;
  • by the gap between booking and visit — the further ahead, the more the reminder matters.
