The advertised price is rarely the final one. Two systems with identical price lists can cost you twice as differently — the gap sits in the billing model and in the costs that never make it to the home page.
Two billing models
Per user. You pay for everyone with access. That looks fair while the team is small. At five people the bill multiplies by five, and you start economising on accounts — the front desk logs in under someone else, the specialists never log in at all. Little by little the system stops reflecting reality.
Per feature. You pay for the modules you actually use, and the number of people is unlimited. This model does not punish a growing team, and it makes more sense for a salon, a workshop or an agency where everyone needs their own login.
The costs that are not on the price list
- Setup and configuration — with heavier systems this is a separate service, often larger than a year of subscription;
- Training — if the interface needs a course, that is a hidden cost in time;
- Data migration — customers, services, prices. Ask up front who does it;
- Support — on some plans, getting an answer is billable;
- Modules you never open — the most common waste. You pay for a bundle of fifty features and use three.
Working out whether it pays for itself
Compare the subscription not against zero, but against what you are losing today. The maths is simpler than it looks:
- How many hours a month go into manual notes, searching and phone calls;
- How many slots sit empty because of no-shows and gaps nobody filled;
- How many regulars never came back because nobody remembered them.
For most small businesses, one retained regular per month covers the subscription. If a system cannot deliver at least that, it is expensive at any price.
