Almost every company already runs an accounting or inventory system that holds the real numbers. The most expensive mistake when adopting new software is replacing it instead of connecting to it.
Why replacing the ERP is rarely worth it
A replacement looks like a clean start, but it brings four costs at once: moving the history, retraining the team, a new way of working for the accountant, and a stretch of time where the numbers in two places disagree. All of that is paid immediately, while the benefit arrives months later — if it arrives.
Connecting solves the same problem with none of those. The ERP stays where it is and keeps working exactly as before.
What integration actually means
The word covers several very different things, so it is worth asking which one is on offer:
- Read only — the new system reads data and writes nothing back to the ERP. The safest option;
- Two-way — data moves in both directions. More powerful, but it needs clear rules about which source wins;
- Manual export — that is not integration, it is a spreadsheet somebody carries across. It works until that person is away;
- Refresh rate — live, hourly, or once a day. For stock and sales that difference matters.
Signs you have no integration
- The same thing gets typed into two places;
- There is a spreadsheet between the systems that someone maintains by hand;
- The ERP report and the CRM report show different numbers and nobody knows which is right;
- Answering a stock question requires phoning the warehouse.
Double entry costs more than it appears to — not because of the lost time, but because two sources drift apart sooner or later and decisions start being made from the wrong one.
What to ask a vendor
- Does it read the database directly, or does it need a manual export;
- Does it change anything inside the ERP itself — and if so, what;
- What happens when the accounting software is updated;
- How long the initial connection takes.
